Role Description:

The A/V Coordinator is the key individual that coordinates and supports Unity’s Audio and Visual logistics for programs, events, and studio equipment inventory. The A/V Coordinator will also act as staff lead on bookings and execution of the Unity School programs. The ideal candidate possesses a strong technical background in audiovisual systems, excellent organizational skills, and the ability to ensure seamless execution of audio and video setups for various activities. The A/V Coordinator will play a crucial role in enhancing the overall quality of our events and programs through their expertise in audio and video technologies.

This role is a part-time (18 hrs a week) contract position. The contract is for 11 months (October to August) with significant possibility of renewal, and has a total value of $21,800. This role reports to the Unity Program Director. This role is a mixed virtual / in-person role that will require the candidate to be in-person in Toronto 1-2 times per week. 

Key Requirements: 

  • A bachelor's degree or equivalent experience in a related field (e.g., audio engineering, video production, media studies).
  • Experience working with a Canadian arts or non-profit organization
  • Experience in the Hip Hop community, knowledge of Hip Hop culture & its related art forms is considered an asset
  • Experience with arts-based facilitation is considered an asset
  • An innovative, entrepreneurial spirit and passion for the Unity Charity mission
  • A true desire to execute top-notch youth programs in a fast-paced, energetic environment
  • Outstanding organizational and time management skills
  • Positive team player, self-motivated, and excellent communicator with the ability to coordinate with interdepartmental teams and with multiple stakeholders

  • Act in accordance to Unity’s Behavioral Code of Conduct and exercise professional judgment in all scenarios involving youth and external stakeholders
  • Driving is an asset, but not required
  • Proven experience (3 years) in setting up and operating audiovisual equipment for events, conferences, or programs, for professional use - Specifically PA setup, audio and video for streaming
  • Knowledge of industry-standard audio and video software and hardware.
  • Familiarity with emerging trends and advancements in audio and video technologies.
  • Proficiency in audio mixing, video switching, and live streaming technologies.
  • Experience in technical support
  • Literacy with Zoom, Google Suite
  • Experience with virtual program delivery, graphic design, and video editing software is an asset

Role Responsibilities

Role Responsibilities:

Equipment Management

  • Maintain an inventory of audiovisual equipment, ensuring all items are properly labeled, accounted for, and maintained in good working condition
  • Coordinate internal equipment rentals by staff for off-site programs and events, ensuring equipment is returned in a timely manner
  • Coordinate equipment rentals and purchases as needed, considering budgetary constraints and technical specifications
  • Stay informed about industry trends and technological advancements in audio and video equipment
  • Manage, maintain and upkeep of all technical equipment related to audio, lighting and video.
  • Provide overall technical support to the Unity Staff for related activities
  • Provide education and training in audio, video and lighting areas
  • Provide accurate work and cost estimates regarding A/V for multiple projects in-studio and in community spaces

Audio/Video Setup and Management

  • Set up and operate audio and video equipment for various Unity events, meetings, and programs, ensuring high-quality sound and visuals
  • Support participants in regards to their streaming needs and internet access
  • Troubleshoot and resolve technical issues related to audio and video equipment promptly
  • Collaborate with event organizers to understand their audio and video requirements and provide appropriate solutions

Technical Support

  • Provide technical support to presenters, speakers, and performers during Unity events, assisting with equipment setup and troubleshooting
  • Educate internal stakeholders on the proper usage of audio and video equipment and systems
  • Develop user guides and documentation for audiovisual setups and equipment operation
  • Conduct pre-event testing of audio and video setups to ensure optimal performance and identify any potential issues
  • Monitor and adjust audio and video levels during events to maintain optimal quality

Collaboration

  • Collaborate with cross-functional teams including IT, marketing, and production to ensure successful execution of audio and video requirements
  • Work closely with external vendors and service providers to source equipment and technical expertise when needed

Program and Participant Support

  • Work with Ontario Program Managers to identify and manage in-studio A/V needs
  • Liaise with Ontario Program Managers and partners in creating community events and showcases
  • Work with Ontario Program Managers to identify and fulfill technical needs for programs
  • Working with the program’s virtual streaming partners and artist facilitators to ensure the smooth delivery of program workshops
  • Identifying participant, artist and partner concerns, and working with the Unity team to solve issues to mutual satisfaction
